The Secret To A Smooth Wedding Day

The essential Roles of a venue manager and a Day of coordinator

204 Made

When planning a wedding it is easy to identify how important it is to pick out the perfect photographer, florist, or DJ.

No one needs to explain why you need a photographer at your wedding.

You know it’s a must.

You wouldn’t imagine investing so much in your wedding and not capturing it.

In the same way you wouldn’t imagine skipping a photographer, a venue manager and a day of coordinator are also cornerstone positions in your wedding day.

The importance of a venue manager and a day of coordinator is often overlooked. And yet, their roles are far from a luxury service. They are both essential for having a smooth stress-free wedding day.

A Power Duo

A venue manager and a day of coordinator are meant to work in tandem. However, their roles and responsibilities are each unique and are meant to add strength to each other.

The Venue Manager

The role of a venue manager varies from venue to venue.

At Legacy Hill Farm our venue manager is visible and easy to find on a wedding day.

For much of a wedding day you can find the venue manager located at the Legacy Hill Farm shop (trailer pictured above) that serves as a front desk to our venue.

The venue manager is responsible for:

  • Opening up the venue & getting the lights on in the spaces

  • Ensuring the table layout is set up as needed

  • Ensuring spaces are clean & tidy

  • Directing vendors to the correct load in / load out areas

  • Answering parking related questions

  • Assisting with venue related Q & A throughout the day (not event specific)

  • And so much more.

The venue manager is focused on taking care of the property and the venue logistics for the wedding day.

It is nice to know there is someone on site who knows how things work and who can answer general questions about the venue.

At Legacy Hill Farm the opportunity to meet and host you and your guests is one that we do not take lightly. It is one of our favorite things to invite you into our spaces and to serve as host to your wedding.

The Day of Coordinator

Ready to enjoy your wedding day? You’re going to need a day of coordinator.

  • Is wedding planning making you feel stressed?

  • Is your set up | tear down plan solid?

  • How are you going to keep family from feeling overloaded?

  • Are you headed towards an end of night clean up nightmare?

  • Is your timeline going to flow smoothly or will there be awkward gaps?

Before a wedding day even arrives a day of coordinator is preparing the path for a smooth wedding day to exist.

A day of coordinator is your go-to person to ensure everything goes smoothly so that you can celebrate with ease.

They are focused on taking care of you and your guests and keeping your wedding on track so that you can have the time of your life.

There are a million details that go into planning a wedding.

Your day of coordinator is meant to hold those for you on your wedding day so that you can release them and actually enjoy your wedding.

Incredible weddings do not happen by chance. Instead, they are created from having a strong solid plan.

On the wedding day a coordinator is responsible for:

  • Managing your timeline

  • Directing you, your wedding party, family, and guests

  • Keeping the day on track

  • Managing ceremony processional, social hour, and reception

  • Managing vendors arrivals, departures, & service details

  • Managing shuttles and guest arrivals

  • Setting up and taking down decor and/or personal items (based upon service booked)

  • Being the lead point of contact and director of the event

  • And so much more.

Truly, the list above barely touches the surface of all that a day of coordinator does.

You want your wedding to be stress-free, protected, under control, and seamless. Plus, you want to be able to relax, let loose, and actually get to enjoy it with all of your family and friends. Your wedding coordinator is the key to making that happen.
